Firstly I would like to assure you that the Macro code in this programme is totally clean and free from all viruses etc.
You can view the entire Visual Basic code here. Feel free to edit the code for your own use and if you make any improvements then please e-mail me the code, so that the programme can be improved. If I use any of your code in future versions you will be fully credited.
I also ask that if you use any of my code, you remember to credit it to me or PracticalStudent.com.
If you have any queries, problems or suggestions please let me know about them via e-mail to editor@practicalstudent.com. There is a section for Frequently Asked Questions, Future Version Suggestions and Version 2 at the bottom of the page.
Instructions
Go to the location where you unzipped the download, (I'm presuming "My Documents"). Open the "Class Records" folder, then open the "Template" folder. Start " ClassRecordsV1.xls". (Every time you want to create a new class register, this is the file you should start with.)
Depending on your Microsoft Excel Version security settings, you may not be able to run the programme immediately. If a Message Box appears saying "Macros in this workbook are disabled because the security level is high, and the macros have not been digitally signed or verified as safe. To run the macros, you can either have them signed or change your security level."
In order to lower your macro security settings, click "OK" on the above message, click "Tools" on the menu, click "Macro" and then "Security...". Select the "Security Level" tab and then select the "Low" option and then click "OK".
You will now have to close Microsoft Excel and run the programme again. It should work fine now.
Initial Setup Sheet
Enter your class times for the week. Please use ":" between the hours and minutes or else the time will come up correctly.
Enter the name you wish to call your class. The file will be saved with this name.
Enter you list of students.
Click the "Run Setup" button.
The programme will now copy the Class Times and Student Names to the required positions on the other sheets. The "Initial Setup" sheet will be moved tot he end of the sheet list. The Microsoft Excel workbook will be copied to the "Class Records" folder with the name you gave to the class.
To create a new ClassRecords workbook for a new class open this template file and repeat the above procedure.
If you wish to add more students to your class later in the year, come back to the "Initial Setup" sheet. Just add the student name to the bottom of the list and click on "Run Setup" again. No previously stored information will be lost.
At the moment you cannot remove a student from the list. For the moment you should mark them absent when you call the register.
Attendance Sheet
There are two buttons on the " Attendance" sheet, " New Day" and " Late Arrivals".
Click "New Day" when you want to take the register at the start of the class. A form will open with the options of "Present", "Late" and "Absent". Select the setting for the student. Clicking the "Next" button moves onto the next student. When the programme has completed the student list you will be informed.
If students arrive late to class click the "Late Arrivals" button. Only those students who have been marked "Absent" will be listed. Select your student and press "Submit". They will be marked in the register as late and the number of minutes they are late will be recorded on the "Late Details" sheet. Click "Done" when you are finished.
You can type into the "Attendance" sheet by hand.
Attendance Statistics Sheet
The "Attendance Statistics" sheet shows information about your students. Any students with less than 75% attendance will be highlighted in red.
If you edit this page you may damage the formulas and make the page unusable.
Late Details Sheet
The "Late Details" sheet just records when a student arrives late to class and by how many minutes they were late.
Student Report Sheet
Select a student from the drop down list at the top of the page. The statistics fro the student you choose will then be displayed on the page.
Click " Print This Report" to print off one report at a time.
Click " Print ALL Reports" to print a page for every student in the class, a page to each student. This may take a few minutes and the page may flicker while it is happening. You will be informed by message box when all of the pages have been sent to the printer.
The drop-down list and the buttons will not appear on the printed page. Go to File - Print Preview, to see what your page will look like before you print it.
Future Version Suggestions
- Each morning we have to do our register and then write out a list of absent students and late students and leave it outside our door at 9:15ish. What I would like to be able to do is add a sheet that would have this info automatically added, ready for printing with the Class name, Date and the names of the students absent and late. Any chance if you got a minute to set me on the right track for this?
